The Executive Assistant to the Chairman / CEO plays a pivotal role in providing comprehensive administrative support to the executive leadership, ensuring smooth operations and facilitating effective communication and decision-making processes. This position requires exceptional organizational skills, discretion, and professionalism, as well as the ability to anticipate the needs of the Chairman / CEO and proactively address them.
Key Responsibilities:
- Administrative Support:
- Manage the Chairman / CEO’s calendar, appointments, and travel arrangements.
- Prioritize and screen incoming communications, responding promptly and effectively.
- Prepare and edit correspondence, presentations, and reports with accuracy and clarity.
- Communication and Liaison:
- Act as a liaison between the Chairman / CEO and internal/external stakeholders.
- Build and maintain positive relationships, representing the executive’s interests professionally.
- Handle confidential and sensitive information with discretion and integrity.
- Meeting and Event Coordination:
- Coordinate and facilitate meetings, conferences, and events, managing logistics and agendas.
- Ensure seamless execution of meetings, providing support and follow-up as required.
- Research and Analysis:
- Conduct research and gather information to support decision-making processes.
- Compile data into concise and actionable reports, providing insights and recommendations.
- Project Management:
- Assist in the management of special projects and initiatives as directed by the Chairman / CEO.
- Demonstrate flexibility and adaptability in handling ad-hoc assignments and challenges.
- Record Keeping and Documentation:
- Maintain accurate records, files, and documentation, both physical and electronic.
- Ensure compliance with organizational policies and procedures regarding data management.
- Professionalism and Ethics:
- Uphold the highest standards of professionalism, discretion, and confidentiality.
- Represent the organization’s values and ethos in all interactions and communications.
Reporting Structure:
The Executive Assistant to the Chairman / CEO reports directly to the Chairman / CEO and collaborates closely with other members of the executive leadership team.
